1. Booking with Manila Flavours Ltd
All bookings must be confirmed in writing by the Client.
A non-refundable booking deposit is required to secure Manila Flavours Catering Services for the date of your event.
By paying the booking deposit, the Client confirms that the following Terms & Conditions have been read, understood and agreed to by the Client.
The booking deposit will be deducted from the total costs of Manila Flavours Catering Services (please see the payment terms below).
An additional hire deposit may be required depending on the services requested by the Client, which covers damage or loss of any hire equipment. Hire deposit will be added on top of your total bill and is refundable after the event date (see Section 3).
Payment method available is via bank transfer.
For payments made via bank transfer, please use your name and event date as the reference.
2. Booking Confirmation
Once the Client’s deposit/s have been received, a receipt will be issued by Manila Flavours Ltd.
The Client must fill out the Booking Form and return to Manila Flavours Ltd no later than 30 calendar days prior to the event.
Final numbers of guests must be notified to us in writing no later than 14 calendar days prior to the event where any changes will be reflected in the balancing payment.
The Client must provide the list of food orders required no later than 14 calendar days prior to the event.
3. Payment of Total Event Costs
Once the invoice is received by the Client, payment in full is required as per payment terms stated on the invoice.
Payment Terms may include but is not limited to: Net 30 prior to Event Date, Net 14 prior to Event Date, Due on Receipt - depending on the services requested.
When paying the remaining balance - for payments made via bank transfer, please use the invoice number as the reference.
If the number of guests attending exceeds the numbers originally booked, and Manila Flavours are able to cater for them, Manila Flavours will charge, at the prevailing rate, for the greater number.
If the number of guests in attendance on the day are fewer than expected, the Client shall still be charged for the number of guests quoted in the final catering package agreed.
Hire deposit will be refunded once the Hire Goods are back in our physical possession, and we are satisfied that there is no damage beyond reasonable wear and tear. Once the Client’s bank details are received and the checks for all Hire Goods have been performed, Manila Flavours Ltd will then start the refund process - this can take up to 10 business days.
4. Labour
Manila Flavours reserves the right to charge (including for any applicable increased or overtime rates) more for staffing costs should any function run on longer than initially planned or detailed in the catering package through no fault of Manila Flavours.
Manila Flavours accepts no responsibility for any venue and/or table decorations; cutlery; crockery; charger plates; any other equipment hired from a third party.
The Client must notify Manila Flavours in advance if Manila Flavours Staff are needed to collect crockery and cutlery, hired from a third party, at the end of the meal service. This service is chargeable and the service fee starts from £100. Additional fee will be added if washing up is also required.
Manila Flavours cannot be held responsible for any damage caused to Clients’ wedding cakes.
The Client must notify Manila Flavours in advance if cake cutting is required as this is chargeable. Cakeage fee starts from £50.
The Client must notify Manila Flavours in advance if Lechon/Hog Roast Chopping Service is required as this is chargeable. The service fee starts from £30.
Please note that Manila Flavours Serving Staff are present to provide catering services agreed with the Client. Manila Flavours Staff are not respoonsible for moving and/or stacking chairs and tables. The Client must arrange for this to be done with the venue or event manager before Manila Flavours Staff arrive at the venue. Additional charges will apply if Manila Flavours Staff have to rearrange chairs and tables.
5. Cancellation Charge
In the unfortunate event of a booking having to be cancelled, confirmation in writing will be needed by Manila Flavours Ltd, and the Client’s deposit will be retained.
Cancellations made from 8-14 calendar days prior to the event date are subject to a 50% fee.
Cancellations made from 4-7 calendar days prior to the event date are subject to a 75% fee.
Cancellations made from 0-3 calendar day prior to the event date are subject to a 100% fee.
6. Catering Services - Dietary Requirements and Allergies
Manila Flavours will endeavour to provide suitable adaptions to the Client’s menu for any guests with special dietary requirements or allergies. Manila Flavours cannot however take responsibility for any guests unless advised in advance (no less than 7 calendar days prior to the event).
Most dietary requirements can be catered for – however, due to the necessary strict requirements, Manila Flavours cannot provide Kosher food. Manila Flavours can also provide certain Halal products which are available upon request.
Food Allergy & Food Intolerance Guide is available and will be provided to the Client along with the Catering Menu.
A menu-specific allergen list is available on request.
7. Quality Assurance
Manila Flavours Ltd have knowledge of food hygiene requirements which ensures food safety and maintain all appropriate insurances and licences. Manila Flavours Ltd holds a catering business licence, public and product liability insurance, and all staff have the proper training and food certification.
Under the Government Food Hygiene regulations, all cold food should be consumed within FOUR hours of delivery. Food kept in hot-holding equipment such as chafing dish, should be consumed within FOUR hours.
In the event that the Client requests for excess food to be left behind, it falls within the Client’s responsibility when food is left out unsupervised and not within the recommended timeframe, by request and with consent from the Client. Any person subsequently consuming food, or taking food home for consumption, does so at their own risk. By doing so, Manila Flavours Ltd shall not be held liable for any consequences thereafter. Manila Flavours Ltd cannot accept responsibility for food consumed otherwise than at the location at which the food is supplied, or after the initial four hour period.
All excess food, provided by Manila Flavours, at the location at the end of the event shall be removed and disposed of by Manila Flavours in accordance with prevailing statutory food hygiene requirements.
Where such food or drink has been supplied by the Client or another caterer, in which event the Client shall be responsible for removing excess food or drink and empty bottles unless otherwise agreed by Manila Flavours.
8. Client’s Food and Drinks
Manila Flavours Ltd accept no liability for any food or drink supplied to the Client by another caterer (or food products supplied by the Client themselves) in addition to those arranged by Manila Flavours.
9. Client’s use of Manila Flavours Ltd’s Property and Client’s Personal Property
Ownership of the Hire Goods remains with Manila Flavours Ltd at all times. The Client has no right, title or interest in the Hire Goods except that they are hired to the Client.
The Client agrees to pay for the new replacement cost of any Hire Goods supplied by Manila Flavours Ltd during the Hire Period which are lost, stolen and/or damaged beyond economic repair, including any issues caused by the Client’s crew.
Manila Flavours Ltd reserves the right to charge the Client for the full replacement value. Substitute items will not be accepted.
If the total damage exceeds the Hire Deposit amount, invoices will be raised to cover the balance from the Client.
Manila Flavours Ltd shall not be held liable for any injury or damage to persons or property howsoever sustained arising from any Hire Goods. A thorough check and inspection will be performed to prevent injury from arising before the Hire Goods leave our physical possession. Once Manila Flavours Staff have left the Location, it becomes the Client’s responsibility to ensure that guests are using all Hire Goods/equipment correctly. The Client and Client’s crew are not permitted to move any of the Hire Goods/equipment unless agreed.
The only persons permitted to move any Hire Goods/equipment are those trained by Manila Flavours Catering Services. Please do not attempt to move LED Numbers, Top/Cake Tables, Plinths, Backdrops or any other property owned by Manila Flavours Ltd. The Client will be charged for any damages and Manila Flavours Ltd will not be liable for any injury and/or damage caused in failure to comply.
Manila Flavours Ltd will not be held responsible for the theft, lost or damage to any personal effects of the Client or Client’s crew.
10. Liability of Manila Flavours Ltd
Manila Flavours Ltd accepts no liability under any claim whatsoever arising (be it by negligence or otherwise) for any loss over the figure of the existing Manila Flavours Ltd Public Liability Limit of Indemnity. Note that this figure may change from time to time, and is available upon request together with a copy of our Certificate.
11. Force Majeure
Manila Flavours Ltd shall incur no liability to the Client if performance of the contract is prevented or hindered by any case whatsoever beyond Manila Flavours Ltd’s control and in particular but without prejudice to the generality of the foregoing, by act of fire, flood, subsidence, sabotage, accident, strike, or lock out and shall not be liable for any loss or damage resulting there from suffered by the Client.
In the event of such an event occurring, Manila Flavours Ltd shall be entitled to cancel the Event with immediate notice to the Client. The booking deposit is transferrable to another date or service.
If the event will be held outdoors, it is the Client’s responsibility to ensure appropriate/suitable provisions are put in place i.e., marquees or gazebos. In the event that the weather condition is unfavourable, Manila Flavours Ltd shall not be held liable for any loss or damage resulting there from suffered by the Client.
12. Supplier Requirements
Manila Flavours Staff require access to the Location for setting up equipment and services. It is the Client’s responsibility to ensure that necessary arrangements have been made with the Location or staff in charge of the venue regarding access.
A minimum period of 2 hours is typically required to set up at the Location. This is an estimate and more time may be required, depending on the nature of the décor and the number of guests.
Manila Flavours Ltd shall not be held responsible nor liable for inability to gain access to the Location, which may result in insufficient time to set-up. Every effort shall be made to co-ordinate with staff at the Location to ensure that this does not happen.
Manila Flavours Staff will require constant access to and exit from, the Location while providing the Services. The Client must ensure that Manila Flavours Staff can enter and leave the Location without excessive restriction.
While at the Location and providing the Service, Manila Flavours Staff will need access to a sink with hot and cold water supply.
To have use of a parking space and/or parking permit throughout the time Manila Flavours and representatives are providing the Services as well access to toilet facilities.
13. Data Protection
Manila Flavours will process any personal data collected from the Client for the purposes of administering the booking for the event. Any personal information about the Client will not be shared out to any third parties.
14. Future Changes to Terms and Conditions
Manila Flavours Ltd reserves the right to change the Terms and Conditions when necessary due to the continual evolving nature of the business. It is the Client’s responsibility to ensure that they are up-to-date with the Terms and Conditions set out by Manila Flavours Ltd.
By using Manila Flavours Catering Services, you agree to abide by the Terms & Conditions set out above.
